Personnel Workflows

Manage profile records, profile statuses, assignments, and profile-level operational history.

This page covers the everyday work you do with people in C2: finding profiles, checking who is assigned where, changing status, and reviewing a person's history.

Workflow: Browse And Filter Profiles

Prerequisites

  • You can open the Profiles area.
  • You can view staff records in your community.

Steps

  1. Open Profiles.
  2. Use the filters to narrow the list.
  3. Open a profile card or table row to see the full record.

Expected Result

  • You see only the people that match your filters.
  • You can switch between a card view and a table view depending on whether you want a quick scan or a more detailed list.

What The Filters Mean

  • Status shows the person's current state. For example, someone might be active, on leave, or pending approval.
  • Role shows what kind of access or responsibility the person has in the community.
  • Unit shows the group they belong to.
  • Position shows their job or duty role inside that unit.
  • Sort options help you bring the newest, oldest, or alphabetically listed people to the top.

Common Issues

  • The list looks empty because the filters are too narrow. Clear one filter at a time to find where the list disappeared.
  • The person you expect is missing because they have not been added to the community yet.
  • The page does not open for you because your role does not include profile viewing access.

Workflow: Update Core Profile Details

Prerequisites

  • You have opened the person's profile.
  • You are allowed to edit the parts you want to change.
  • You know whether the profile is being updated as part of a normal admin task or a status review.

Steps

  1. Open a profile detail page.
  2. Update the avatar or background if needed.
  3. Review the person's basic details and check whether anything is out of date.
  4. Use the status panel to assign, change, or clear a profile status.

Expected Result

  • The profile now shows the correct picture, background, and status.
  • Other staff members see the updated record the next time they open it.

What The Main Fields Mean

  • Avatar is the small profile image shown in lists and on the profile page. Use a clear image where the face or insignia is easy to recognize.
  • Background is the banner behind the profile header. It is useful for unit branding or a custom visual identity.
  • Status is a short label that tells staff what is currently happening with the person. For example, you might use a status like Active, Training, or On Leave.

Common Issues

  • The image does not look right because the file is too small or the subject is hard to see.
  • The status change does not stick because the person does not have permission to change statuses.
  • The save fails because one of the fields is blank or does not match the format the form expects.

Workflow: Assign Rank, Unit, Position, Qualifications, Awards, And Roles

Prerequisites

  • You have opened the person's profile.
  • You understand which part of the record you are changing.
  • You are using the right section of the profile page for the task.

Steps

  1. Open a profile.
  2. Go to the relevant card or dialog.
  3. Make the change.
  4. Save before moving to the next section.

Expected Result

  • The person now appears with the right rank, unit, job, qualifications, awards, and staff role.
  • The profile history shows that the change was made.

What These Assignments Mean

  • Rank is the person's military or organisational rank, such as Private, Sergeant, or Captain.
  • Unit is the team or sub-group they belong to.
  • Position is the role they perform, such as Rifleman, Medic, or Platoon Leader.
  • Qualifications are skills or certifications they have earned.
  • Awards are recognitions or decorations they have received.
  • Roles control what they can do inside C2, such as editing profiles or creating events.

Common Issues

  • The wrong item was selected from a dropdown, so the profile ended up in the wrong unit or position.
  • A person has more than one qualification or award, but only one was saved because the wrong selection mode was used.
  • The change was saved, but the profile history helps show exactly what was updated if you need to double-check.

Workflow: Configure Profile Status Options

Prerequisites

  • You can open the Profile Statuses page.
  • You are allowed to manage status options for the community.
  • You know what each status is meant to represent before creating it.

Steps

  1. Open Profile Statuses.
  2. Create a new status or edit an existing one.
  3. Choose a clear name and color.
  4. Mark one status as the default if it should be the starting point for most people.

Expected Result

  • Staff can choose from a consistent set of status labels.
  • The default status is the one C2 suggests first when someone needs a status.

What Good Statuses Look Like

  • Active for people who are currently available and participating.
  • Training for people who are still being onboarded or qualified.
  • Inactive for people who are not currently participating.
  • Use short, clear names and simple colors so the list is easy to scan at a glance.

Common Issues

  • Two statuses mean almost the same thing, which makes the list hard to use.
  • The color is too close to another status color, so people cannot tell them apart quickly.
  • The default status was set to the wrong one, which can confuse new staff.

Workflow: Review Profile Notes And Logs

Prerequisites

  • You have opened the profile.
  • You know whether you want to leave a note or check the change history.
  • You are allowed to view and, if needed, add staff notes.

Steps

  1. Open a profile.
  2. Use Notes to leave internal comments for other staff.
  3. Open Logs to see what changed and who changed it.
  4. Read the entries in order if you want to understand the sequence of events.

Expected Result

  • Notes capture the kind of information your team needs to remember later.
  • Logs show a running history of changes such as rank updates, unit changes, and status edits.

Notes Use Cases

  • Needs follow-up after next training night.
  • Confirmed by unit lead on Friday.
  • Waiting on documents before promotion review.

Common Issues

  • A log entry may mention a person or item that no longer exists because the record was deleted later.
  • Notes should stay short and factual so other staff can read them quickly.
  • If you cannot see logs, your role likely does not include profile history access.
